At KoncordINC, we are committed to building a secure, ethical, and growth-oriented workplace. As a medical billing and coding company serving international clients, our policies are carefully aligned with Indian labor laws,
HIPAA compliance, and industry best practices.

1. Employment Structure

All employment contracts at KoncordINC comply with the Shops and Establishment Act, Industrial Employment Standing Orders, and wage and bonus laws. Employees are categorized as full-time, part-time, or contractual with terms clearly documented. A standard 3-month probation period is applicable to most roles, post which confirmation is based on performance.

2. Hybrid Work Model

We offer a hybrid work structure combining remote and office work.

  • During the probation period, employees may be required to work from the office or in a supervised remote setup.
  • Post-probation, employees can opt for hybrid or remote work depending on role and performance, with mandatory compliance to data security protocols.
  • All remote work is conducted on HIPAA-compliant systems with VPNs, firewalls, and secure access controls.

3. Work Hours and Attendance

  • Work Timings: 9:30 AM to 6:30 PM IST (1-hour lunch break)
  • Working Days: Monday to Friday (Saturdays off unless assigned)
  • Attendance is tracked via HRMS or secure login tools. Any deviations must be pre-approved by the team lead or HR.

4. Leave Policy

Note: Unused Earned Leave beyond 45 days may be encashed at basic salary rate or carried over with HR approval.

5. Payroll & Benefits

  • Salaries are paid by the 7th of each month.
  • Payslips, Form-16, and PF details are accessible via the HR portal.
  • Statutory benefits include:
    • Provident Fund (PF) under EPFO
    • Employee State Insurance (ESI) where applicable
    • Professional Tax, TDS, and Gratuity for eligible employees
  • Employees also receive performance bonuses or project incentives as per client delivery metrics.

6. Training & Evaluation

All employees undergo in-depth training in ICD-10, CPT, HCPCS, payer rules, denial management, and software tools. Ongoing upskilling sessions, client-specific guidelines, and QA audits are integral to performance growth. Evaluations are conducted quarterly for feedback, promotions, or additional responsibilities.

7. Workplace Conduct

Employees must maintain professionalism and adhere to KoncordINC’s Code of Conduct. Any misconduct, data breach, or violation of confidentiality will result in disciplinary action or termination. Substance abuse, harassment, or use of derogatory language is strictly prohibited.

8. Data Privacy & HIPAA Compliance

All employees are trained on HIPAA, PHI handling, and data privacy laws under Section 43A of India’s IT Act. Access is granted on a need-to-know basis, and violations result in termination and possible legal action. Remote work must use secured company devices, VPNs, and 2FA authentication.

9. Anti-Harassment & Equal Opportunity

KoncordINC follows the POSH Act (2013) with an Internal Complaints Committee (ICC) in place. We do not discriminate based on gender, caste, religion, disability, or sexual orientation. Complaints are confidentially handled with a resolution target of 15 business days.

10. Grievance Redressal

Employees can raise concerns via:

  • HR email/helpdesk
  • Anonymous suggestion box
  • Direct reporting to the Grievance Committee

Every issue is addressed professionally and confidentially.

11. Exit Policy

  • Notice period: 30 days (or as per appointment letter)
  • Employees must complete project handover, asset return, and final attendance verification
  • Full & Final Settlement is processed within 30–45 days of exit
